Upload and map your import file
This guide walks you through uploading your member file and confirming the column-to-field mapping so MapleGather knows how to bring your data across.
Who can do this: Admins with the import permission. If you don’t see the New import button, ask your Org Owner to check your role.
Before you start
Section titled “Before you start”- Export your member data from your current system as a CSV, Excel (.xlsx), or XML file — or copy the cells from a spreadsheet so you can paste them.
- Have your file ready before you begin. MapleGather doesn’t save a half-started upload.
- Go to Migration in the admin sidebar and select New import. If this is your first import, select Import members on the welcome screen.
- In the Upload file area, drag your file onto the drop zone or select Browse files to pick it from your computer. You can also select Or paste your spreadsheet and paste copied cells directly.
- If your Excel file has more than one sheet, MapleGather shows a sheet picker. The sheet that looks most like member data is pre-selected. Check any other sheets you want to include, then select Continue with selected sheets.
- Wait a moment while MapleGather reads your file and suggests a mapping for each column.
- Review the Maps to column for each row in the mapping grid. A High confidence badge means MapleGather is confident; a Low badge means you should double-check.
- To change a mapping, select the dropdown in the Maps to column and pick the right field. You can also select Skip this column to leave a column out of the import.
- If a target field doesn’t exist yet — for example, you have a “T-shirt Size” column but no custom field for it — select Create new… in the dropdown to create the field inline.
- When every column is mapped or skipped, select Confirm mappings →.
Verify
Section titled “Verify”You’ll know it worked when MapleGather moves to the Preview import screen, where you can review what will be created, updated, or skipped before anything is committed.
If something goes wrong
Section titled “If something goes wrong”- “Couldn’t read this file” — The file may be password-protected or not UTF-8 encoded. Open it in your spreadsheet app, save it again as a CSV or .xlsx, then re-upload. See Your import file won’t upload or parse.
- “At least one of Email or Full Name must be mapped” — MapleGather needs one of these fields to identify members. Re-check your column list and map either the email or name column before confirming.
- A column you need isn’t in the target list — Select Create new… to create a custom field on the fly. You can configure it fully after the import from Settings > Member fields.
