Run a bulk operation on multiple members
This guide shows you how to apply the same change to many member records at once — for example, adding a tag to everyone who attended an event, or archiving a group of former members.
Who can do this: Admins with permission for the specific action (for example, the tag-edit permission to bulk-add a tag). The bulk action bar doesn’t appear unless your role includes at least one available bulk action.
Before you start
Section titled “Before you start”- Use filters or search to narrow the list to the members you want to affect before selecting them. This makes selection faster and reduces the chance of accidentally modifying the wrong records.
- Bulk operations can affect many records. Review the preview carefully before confirming.
- In the member list, check the boxes for the members you want to affect. Check the box in the column header to select all visible rows, or use Select all matching ({total}) to include every member that matches your current search.
- The bulk action bar appears at the bottom of the screen. Choose an action from the bar, such as Add tag, Remove tag, or Archive.
- For actions that require a parameter (like choosing which tag to add), a dropdown or panel opens in the bar. Complete the selection.
- Select Preview.
- A preview lists the members who will be updated and any who will be skipped (with the reason). For example, “Already has this tag” or “Archived with active subscription.”
- If the preview looks correct, select Confirm to apply the change. The button shows the exact number of records that will be updated.
Note: For destructive actions (such as Archive), you need to type the action name in a confirmation field before the preview appears.
What happens during the operation
Section titled “What happens during the operation”For large batches, the operation runs in the background. An “operation in progress” notice appears in the member list. You can navigate away — you don’t need to wait.
When the operation is complete, a notification appears with a summary of how many records were updated and how many were skipped.
Roll back a bulk operation
Section titled “Roll back a bulk operation”If you need to undo a recent bulk operation, go to Settings → Recent bulk operations and select Rollback next to the operation you want to reverse. The rollback window is 48 hours.
The “Undo” link in the notification after the operation is a shortcut to the same place — but if you dismissed that notification, the Settings page is where you can always find the rollback option.
Verify
Section titled “Verify”You’ll know it worked when the notification says how many records were updated, and those records reflect the change when you open them.
If something goes wrong
Section titled “If something goes wrong”- “Could not generate preview” — a temporary error occurred. Select Retry in the preview dialog.
- “Your selection exceeds the limit for this action” — some actions have a cap on how many records can be updated at once. Select Edit selection to reduce the number, or run the operation in two smaller batches.
- “Preview timed out” — the selection may be too large to preview. Select Edit selection to narrow it down.
- Partial failure — if the operation partially completed before an error, the records that were already updated are not automatically rolled back. A notification names the failed count. Go to Settings → Recent bulk operations to review and roll back if needed.
- Bulk action bar isn’t visible — your selection may be empty, or your role may not include any available bulk actions. Contact your org owner if you expect to have access.
