Member database email role reference

This reference describes the email roles that control which address receives different types of messages for a member.

A member can have more than one email address on file. Email roles determine which address MapleGather uses for each type of outbound message. Every member must have a primary address; all other roles are optional and can be assigned to any address on the record.

Roles are set on the Email routing section of the member edit page. Rows that show a lock icon are required for billing and cannot be removed while an active subscription is in place.

Role API value Purpose
Primary primary The member’s main address. Required on every record. Used for all communication that doesn’t have a more specific role assigned. Changing this address triggers a verification email to the new address.
Billing billing Receives invoices and payment-due notices. Required while an active subscription is in place.
Receipts receipts Receives payment receipts and donation acknowledgements. Defaults to the billing address if not separately assigned.
Org representative org-rep Used when the member serves as the contact for a member organization or chapter. Receives org-level correspondence.
Fallback fallback Receives a copy of messages that bounce on delivery to any other address. Useful for a shared inbox or a secondary contact.
  • Every record must have exactly one primary address.
  • The billing and receipts roles can be assigned to the same address or different addresses.
  • An address can hold multiple roles at once.
  • If no receipts address is assigned, receipts go to the billing address.
  • If no billing address is assigned, invoices go to the primary address.
  • The primary address can’t be deleted while the record exists. To replace it, add the new address first, then reassign the primary role to that address.
  • Changing the primary address puts the new address in a pending-verification state. Mail continues to go to the old address until the member confirms the new one.
