Search, filter, and export payment transactions
This guide shows you how to find payments in MapleGather, save frequently-used searches, view a payment’s full audit trail, and export payment data for reconciliation or accountant handoffs.
Who can do this: Admins with the payments:read permission (browse and view payment details). Exporting additionally requires payments:export.
This guide covers four tasks: browse and filter payments, view audit trails, save searches, and export data.
Browse and filter payments
Section titled “Browse and filter payments”- In the admin sidebar, select Billing & payments. The Payments list is the default landing page.
- Use the filter bar to narrow results:
- Date range — select a quick option (Today, Last 7 days, Last 30 days, This month) or choose a custom date range.
- Method — filter by Card via Stripe, Cash, Check, Bank transfer, or Other.
- Status — filter by Succeeded, Pending, Failed, Refunded, or Partially refunded.
- Amount range — enter a minimum and/or maximum amount.
- Member — type a member’s name or email to filter to their payments.
- Active filters appear as chips below the filter bar. Select the X on any chip to remove it, or select Clear all filters to start over.
- Select any payment row to open its detail view.
View a payment’s audit trail
Section titled “View a payment’s audit trail”- Select a payment from the list to open its detail.
- The payment detail shows the date, amount, status, payment method, linked invoice, Stripe transaction ID, and a chronological audit trail of every action taken on this payment.
- Select View in Stripe Dashboard to see the underlying charge in your Stripe account.
Save a search for regular use
Section titled “Save a search for regular use”- Apply the filters you want to save (for example, all card payments over $500 in the last month).
- Select Save search.
- Give the search a name, such as “Daily Stripe over $500.”
- To pin the search to your admin dashboard, turn on Pin to dashboard.
- Select Save. The saved search appears in the Saved searches section and re-evaluates the filters at the current time whenever you run it — it doesn’t lock in a fixed date range.
Export payment data
Section titled “Export payment data”- Apply the filters for the data you want to export.
- Select Export, then choose CSV, Excel, or PDF.
- If your results have fewer than 1,000 rows, the file downloads immediately. If there are more than 1,000 rows, MapleGather queues an async export and emails you when the file is ready. You can also find completed exports at Billing & payments > Exports.
Verify
Section titled “Verify”Saved searches appear in the Saved searches section and re-run with fresh results each time. Exports include the active filter set in the header row for traceability.
If something goes wrong
Section titled “If something goes wrong”- No results match your filters — try widening your date range or removing some filters.
- “Export already in progress” — wait for the current export to complete, then try again. The link to the pending export is shown.
- “You don’t have permission” — contact your org’s primary admin to request the payments:read permission (or payments:export for exports).
