Build and save an audience segment

This guide shows you how to create a reusable group of members to use as the audience for a broadcast or a lifecycle automation.

Who can do this: Admins who can create and save audience segments.

  • Segments are defined by criteria — for example, membership level or member status. The exact list is resolved fresh each time you send, so new members who match will be included automatically.
  • You can also include an Exclude block to remove a specific sub-group from your audience.
  1. Go to Email > Segments and select New segment, or open the Compose screen and choose Build new segment… from the Send to menu.
  2. In the Include block, select + Add condition.
  3. Choose a field from the first dropdown — for example, MembershipLevel, Tag, or Member status (the member’s active/inactive computed state — active means a current paid membership, inactive covers lapsed, pending, and archived).
  4. Choose an operator from the second dropdown — for example, equals or is one of.
  5. Choose or enter a value in the third field.
  6. Repeat steps 2–5 to add more conditions. By default, a member must match all conditions (AND logic). To match any one condition instead, turn on the Match any condition (OR) toggle at the top of the Include block.
  7. Check the live count beneath the criteria — for example, “84 recipients match.“ This updates within about half a second of each change. The tilde () means the count is estimated; the exact list is resolved at send time.
  1. Select + Add exclude criteria below the Include block. An Exclude block appears.
  2. Add conditions to the Exclude block the same way you added them to Include. Members who match the exclude criteria are removed from the audience even if they match the include criteria.
  3. If the live count drops to 0 and you see “Exclude criteria removed all recipients — review filters,” adjust your exclude conditions.
  1. Enter a name in the Segment name field at the top of the form.
  2. If you want all admins to be able to use this segment, turn on Share with all admins.
  3. Select Save segment.

You’ll know it worked when a “Segment saved — ~N recipients” message appears and you’re returned to the segments list. Your new segment appears in the Send to picker when composing a broadcast and in lifecycle automation trigger config.

  • “Conflicting criteria — adjust, or use the OR-logic toggle” — two include conditions can’t both be true at the same time (for example, Level = Gold AND Level = Standard). Use the Match any condition (OR) toggle or remove one of the conditions.
  • “Exclude criteria removed all recipients” — your exclude block is removing everyone in the include set. Narrow the exclude criteria.
  • “Segment name already in use” — choose a different name and save again.
