Archive and restore a member
This guide shows you how to archive a member record to hide it from active views, and how to restore it later.
Who can do this: Admins with the archive-contact permission.
Archiving hides a record without deleting it. The member loses active-list visibility, but their data stays safe and you can restore it at any time.
Before you start
Section titled “Before you start”- Before you can archive a member who has an active membership, you must cancel that membership first.
- You can’t archive the only org owner. Assign another admin as org owner first.
Archive a member
Section titled “Archive a member”- Open the member’s detail page. See View a member record in detail.
- Select the ⋯ (more) menu in the action row.
- Select Archive.
- If the member has an active membership, an error message appears with a Go to membership link. Cancel the membership, then come back and try again.
- A confirmation dialog appears: “Archive {name}?” Select Archive to confirm.
- The member list opens and a “Record archived” confirmation appears briefly. You have a few seconds to select Undo in that confirmation if you change your mind.
Restore an archived member
Section titled “Restore an archived member”- In the member list, turn on the Include archived toggle to show archived records.
- Find the member’s row (it appears with a muted style and an “Archived” badge) and select it.
- On the detail page, an “This record is archived” banner appears at the top. Select Restore.
- A “Record restored” confirmation appears. The archived banner disappears.
Verify
Section titled “Verify”You’ll know the archive worked when the member no longer appears in the active member list (with Include archived off). You’ll know the restore worked when the archived banner is gone and the record appears in the active list.
If something goes wrong
Section titled “If something goes wrong”- “Cancel the active membership first” — the member has an active subscription. Cancel it using the link in the error message, then try archiving again.
- “Cannot archive the sole Org Owner” — assign another admin as org owner before archiving this record.
- “Could not archive — please try again” — a connection problem occurred. Try again.
- “Could not restore” — if the Undo link in the confirmation toast didn’t work, use the Include archived toggle to find the record and use the Restore button on the detail page.
