Customize member status labels and transition a status

This guide covers two related tasks: renaming the status labels that your members see, and manually changing a member from one status to another.

Who can do this for label customization: Admins with the org-settings permission.

Who can do this for status transitions: Admins with permission to change member statuses.

MapleGather uses system status names (such as active, grace, lapsed) that can’t be deleted or renamed at the system level — but you can change the display label that your members and admins see.

  1. In the left sidebar, select Settings, then select Member statuses.
  2. Find the status row you want to rename.
  3. Select the label field in the Your label column. It becomes editable.
  4. Type the new label. Labels can be up to 50 characters.
  5. Optionally, select the color swatch to change the status color. A preview badge shows how it will look.
  6. Select Save on that row to save your change. A “Status label updated” confirmation appears briefly.
  7. Repeat for each status you want to customize.

You can also see the transition rule table on this page, which shows which status changes are allowed. Hover over any blocked cell to see why that transition isn’t available and what to do instead.

  1. Open the member’s detail page. See View a member record in detail.
  2. Select the (more) menu in the action row.
  3. Select Change status.
  4. Choose the new status from the list. Statuses that aren’t available from this member’s current status are shown but marked as blocked.
  5. Select the confirm button — it is labeled with the action you’re taking (for example, Change to Suspended) — to apply the change.

You can also select the member’s status badge directly on the detail page to open the same dialog.

Note: Changing a member to Suspended immediately invalidates any active sessions, so the member is signed out the moment you confirm.

After renaming a label, the new label appears in the status badge preview on the settings page and on all member records.

After a status transition, the member’s status badge on their detail page shows the new status.

  • “Label cannot be empty” — enter a label before saving. Select Cancel to revert to the previous label.
  • “Label must be 50 characters or fewer” — shorten the label before saving.
  • “This label was updated by another admin” — a colleague changed the same status definition at the same time. Select Reload to see the latest version. Your typed label is preserved so you can copy it before reloading.
  • A status transition is blocked — some transitions aren’t available from the current status. Hover over the blocked option to see the reason and what to do instead. For example, a cancelled membership can’t go directly back to Active — you need to start a new membership instead.
  • “You no longer have permission to edit these settings” — your org-settings permission may have been removed while you had the page open. Contact your org owner.
