Configure and send the post-migration broadcast
The post-migration broadcast is the email that goes to your imported members with a personal link they use to claim their account. This guide covers how to set up the email, choose your audience, and send it — or cancel it if you change your mind.
Who can do this: Admins with the broadcast permission (migration:broadcast). If you don’t see the option, ask your Org Owner.
Before you start
Section titled “Before you start”- Your members should be imported before you send the broadcast. The broadcast is most useful for new member accounts — members who need to set a password and verify their profile.
- You need at least one audience segment selected. The easiest option is to send to all members from your most recent import.
Set your audience
Section titled “Set your audience”- After your import completes, select Set up the broadcast on the import summary page. The broadcast configurator opens with your imported members already selected as the audience.
- Review the blue banner at the top of the page: “This email goes to the N members you just imported. Nothing sends until you review and click Send.” This page is safe to explore.
- To refine the audience, use the segment picker under Who receives this broadcast. You can filter by membership level, tag, activity status, or login status. A recipient count updates as you adjust.
Compose the email
Section titled “Compose the email”- Under Compose the email, review the email draft. If the AI wizard ran, a starting template is pre-filled — you can edit it or select Regenerate to see an alternate version.
- Make sure the email body includes the {{claim_account_link}} merge tag — this is the personal link each member uses to access their account. Without it, the send is blocked.
- Select Preview to see the email with sample member data and a stand-in for the claim link (which becomes a real personal link only when you send).
- The claim link is valid for 30 days from when you send. If you want to adjust that window, select Adjust TTL below the composer.
Send or schedule
Section titled “Send or schedule”- When the email looks right, select Send now in the footer. MapleGather queues the broadcast and takes you to the transition dashboard to watch delivery progress.
- To send at a specific time, expand Advanced settings and set a date and time before selecting Schedule.
Cancel a queued broadcast
Section titled “Cancel a queued broadcast”If you change your mind before the email sends, select Cancel broadcast in the page header. A dialog confirms the cancel. If sending has already started, some emails may already have been delivered — the transition dashboard shows the final count once the queue finishes.
Verify
Section titled “Verify”You’ll know the broadcast was accepted when the page redirects to the Transition dashboard and shows the broadcast status as Queued or Sending. See Monitor the admin transition dashboard to track delivery.
If something goes wrong
Section titled “If something goes wrong”- “Add a claim link” error — The email body is missing the
{{claim_account_link}}merge tag. Use the Insert claim link button in the email toolbar to add it. - “Pick at least one audience” warning — Select All imported in the segment picker to quickly include everyone from your import.
- The broadcast was cancelled and you want to resend — You can resend the original configuration within 48 hours from the Unified Undo panel.
