Member database status definitions reference
This reference describes every membership status in MapleGather, how a member reaches that status, and what it means for their access to the portal.
About status labels
Section titled “About status labels”The status values listed here are the system names. Your organization can rename the label that members and admins see (for example, renaming lapsed to “Past due”) without changing how the status works. To rename labels, go to Settings → Member statuses. See Customize member status labels and transition a status.
Statuses

| Prospect | prospect |
The contact has submitted a signup form and is in your database but has not yet been assigned a membership. A prospect can sign in to the portal to complete their application. |
| Pending | pending |
The record is awaiting verification or payment before the membership is fully active. |
| Contact only | contact-only |
The contact is tracked in your database but has no membership. This is the default status for records created manually by an admin without assigning a membership level. |
| Active | active |
The member has a current, paid membership. They have full access to the member portal. |
| Grace | grace |
The membership renewal was due but payment hasn’t been received yet. The member still has portal access during the grace period, and they see a prompt to renew. Grace transitions to Lapsed when the grace period expires. |
| Lapsed | lapsed |
The grace period expired without payment. The member may have limited portal access depending on your org’s settings. They see a prompt to rejoin. |
| Expired | expired |
The membership has fully expired and no grace period applies, or the membership reached its natural end date. |
| Suspended | suspended |
An admin has placed a hold on the member’s account. The member can’t access the portal. Any active sessions end immediately when this status is applied. |
| Cancelled | cancelled |
The membership was cancelled — either by the member or by an admin. Cancellation is a deliberate, logged action. |
| Archived | archived |
The record has been archived by an admin. Archived records are hidden from active lists and the member can’t access the portal. Records can be restored. |
Allowed status transitions (admin-initiated)
Section titled “Allowed status transitions (admin-initiated)”Not all status transitions are available. The table below shows which transitions admins can make manually. Auto-transitions (such as Active → Grace after a missed payment) are handled by the system and aren’t listed here.
