Connect Zapier (no-code)

This guide shows you how to connect your MapleGather organization to Zapier so you can automate tasks — like notifying a spreadsheet when a payment comes in — without writing code.

Who can do this: Any admin. You need a Zapier account (free or paid). The connection step requires the connect-no-code permission in Zapier; disconnecting requires integrations:write.

  • You need a Zapier account. If you don’t have one, you can sign up at zapier.com.
  • You do not need to create an API key manually — the connection step handles that for you.
  1. Go to Admin & Security > Integrations.
  2. In the No-code section, find the Zapier card and select it. If Zapier is not yet connected, you’ll land on the Connect Zapier page.
  3. Under The key Zapier will use (shown once): a key is generated for this connection and shown once. Read the warning, copy it now, and select I’ve stored it safely. This is the only credential you need to handle — you won’t see a scope catalog. If the copy button fails, the key field stays selectable — copy it manually.
  4. Select Open in Zapier ↗. This opens MapleGather’s Zapier app page in a new tab. You’ll finish the connection there and then come back.
  5. In Zapier, search for MapleGather and select Connect. When prompted, paste the key you copied in step 3.
  6. Come back to this tab. The page shows “Finishing in Zapier… come back to this tab when you’re done — your connection shows up here once it’s live.” When you’re done in Zapier, select I’ve finished — check now, or simply switch back to this tab — the page updates automatically when your connection is active.

Once connected, you can create Zaps using:

  • Trigger: New payment received — fires within about five minutes of a payment succeeding in MapleGather.
  • Action: Create a contact — creates a member record from a Zap (for example, from a Mailchimp form). If the email already belongs to a member, MapleGather returns the existing member rather than creating a duplicate.

Configure these Zaps in Zapier, not in MapleGather.

Disconnecting is permanent. It stops every Zap using this connection and erases the stored credentials. You’ll need to reconnect from scratch.

  1. Go to Admin & Security > Integrations > Zapier.
  2. Select Disconnect.
  3. Read the confirmation: “Disconnecting stops every Zap using this connection and erases the stored credentials. You’ll have to reconnect from scratch.” Select Disconnect Zapier to confirm, or Cancel to go back.

After connecting: the Zapier card in Integrations shows “Active” and a “Last sync” timestamp.

After disconnecting: the card is removed from Connected apps.

  • The connection shows “Reconnect needed” — your Zapier authorization has expired. Select the reconnect link on the card and go through the connection steps again. (At M1 the Zapier connection uses a scoped API key that does not expire on its own — if you see this state at M1, contact support.)
  • You closed the Zapier tab before finishing — nothing was connected. The on-ramp page is still open — select Open in Zapier ↗ again to retry.
  • The “Connect” action is not visible in Zapier — your role may not have permission to connect no-code integrations. Contact your organization’s owner.
