Run the account handover workflow
This guide shows you how to transfer an admin’s roles and records to a successor — useful when an admin leaves or transitions out of their role.
Who can do this: Admins who have permission to run account handovers. Org owners can do this by default.
Before you start
Section titled “Before you start”- Identify the successor. They can be an existing active admin or someone you invite during the handover.
- If the successor is new and hasn’t accepted their invitation yet, the handover pauses until they do. You have up to 30 days.
- The handover runs as a background job. You don’t need to stay on the page — MapleGather emails you and the successor when it’s done.
Step 1 — Start the handover
Section titled “Step 1 — Start the handover”- Go to
Admin & Security→ Admins. - Open the ⋮ More actions menu for the admin you’re handing over from.
- Select Account handover. The handover wizard opens on the first step.
Step 2 — Pick a successor
Section titled “Step 2 — Pick a successor”- In the Select successor dropdown, choose an existing active admin.
- If the successor doesn’t have admin access yet, click Invite a new person to send them an invitation. The handover will wait until they accept (up to 30 days). A banner will show how many days remain.
Step 3 — Choose what to transfer
Section titled “Step 3 — Choose what to transfer”- Review the checkboxes under What to transfer?. By default, all record types are selected:
- Events created by me
- Saved member searches
- Saved reports
- Integration configurations
- Uncheck any types you do not want to transfer.
Step 4 — Review and complete
Section titled “Step 4 — Review and complete”- On the Review handover screen, confirm:
- The roles being transferred
- The record count for each type
- Note that your account will be automatically archived once the transfer completes — this is permanent and there is no opt-out.
- Click Complete handover.
The handover starts immediately as a background job. You see a banner that says “Handover in progress — you can navigate away; we’ll email you when complete.” You’re free to leave the page.
Verify
Section titled “Verify”You’ll know it worked when:
- The “Handover in progress” banner appears after you click Complete handover.
- You receive an email confirmation when the job finishes.
- The predecessor’s account shows a Handover complete status on the Admins list.
If something goes wrong
Section titled “If something goes wrong”- “Awaiting successor acceptance — N of 30 days left” banner — The successor was invited but hasn’t accepted yet. Ask them to check their email and click the invitation link. The handover resumes automatically when they accept.
- “Handover job failed — contact MapleGather support” banner — Something went wrong during the background job. Contact MapleGather support and reference the handover ID shown in the banner.
