Event shows sold out but seems like it should have spots

The event or ticket shows “Sold out” but the number of confirmed attendees is lower than the set capacity.

Pending payment holds count toward capacity. When a member starts checkout, MapleGather reserves their spot while they complete payment — even before payment is confirmed. These holds reduce the visible available capacity and can make an event appear sold out when some spots are only temporarily held.

Holds expire after the auto-cancel window (default 30 minutes). When they expire, those spots are released and available capacity goes back up.

  1. Open the event and select the Attendees tab.
  2. Filter by Status: Registered to see confirmed registrations only.
  3. Compare the confirmed count to the event capacity (shown on the Overview tab).
  4. If the confirmed count is lower than capacity, the difference is pending holds. Wait for the auto-cancel window to pass — holds that expire will release automatically.

If you need to open a spot immediately, you can shorten the auto-cancel window on the Overview tab. This will not release existing holds already in progress, but future holds will expire sooner.

If you see “Sold out” and want to attend the event:

  • Wait 30 minutes and check again. If holds expire, spots may open.
  • Contact the organizer — they may be able to register you manually.
  • Confirmed count equals capacity — the event is genuinely sold out. No pending holds are involved.
  • Capacity is blank — the per-ticket-type capacity may be the limit. Check the capacity setting on each ticket type in the Tickets tab.
